By the time you see the variance, how long has the building known?

A leasing agent already knows concessions are creeping up. A property manager already knows about the slow leak in the parking structure. A regional ops lead already knows collections are starting to slip on a specific asset.

By the time that same issue shows up as a reconciled variance, the people closest to the building may have known about it for a month or more.

Ken Doble made this point in an article he posted in May 2026 – it’s a really interesting post and related to my own post written last week about tracing a variance back to the asset that caused it.

But Ken’s post got me thinking about the direction most portfolio teams miss.

Most FP&A teams run the same trail:
→ A portfolio variance shows up → The investigation starts in Yardi or MRI → It works backward to the operational driver in a specific building.

That’s necessary, and it’s also only half the story.

Ken’s point runs the other way:
→ The operational signal exists first → A leasing slowdown, rising concessions, an unexpected repair, deteriorating collections → The people on the ground already understand what’s happening → The financial consequence just hasn’t caught up yet.

For one building, that gap closes quickly. Someone picks up the phone.

For a portfolio of 50, 100, 200 assets, it doesn’t close on its own. Nobody is watching every building’s operational reality and every building’s reconciled financials at the same time, let alone connecting the two.

That’s the real challenge. Not a faster variance report, and not faster operational reporting either. Connecting the rear-view mirror of reconciled performance with what your people already know, before the numbers force the conversation.

💡 The best explanation of performance doesn’t stop at “why did this happen.” It connects what the numbers are telling you with what your people already knew.
